TERMS and CONDITIONS

AAROE Survival & Wilderness Travel Adventures

Terms and Conditions

Effective Date: October 1, 2026

These Terms and Conditions apply to all bookings, registrations, programs, workshops, guided experiences, educational sessions, wilderness activities, cultural experiences, private instruction, and other services provided by AAROE Survival & Wilderness Travel Adventures ("AAROE," "we," "us," or "our").

By booking, registering for, attending, or participating in an AAROE experience, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

These Terms and Conditions should be read together with any applicable participant waiver, assumption-of-risk agreement, registration form, program-specific information, and instructions provided by AAROE.

1. About AAROE

AAROE Survival & Wilderness Travel Adventures provides outdoor education, wilderness skills instruction, survival instruction, hiking experiences, bushcraft education, nature-based learning, Indigenous and Métis cultural teachings, plant knowledge experiences, interpretive programming, and related educational experiences.

Programs vary in their level of physical activity, remoteness, duration, environmental exposure, and inherent risk.

The specific activities, conditions, requirements, and risks associated with an individual program will be communicated through the booking information, registration materials, participant instructions, or directly by the AAROE instructor or facilitator.

2. Booking and Registration

A booking is considered confirmed when:

  • the required registration information has been provided;
  • payment or an approved deposit has been received; and
  • AAROE has confirmed the booking.

AAROE reserves the right to decline or cancel a booking where circumstances reasonably require it, including safety concerns, insufficient information, participant conduct, program cancellation, or circumstances beyond AAROE's control.

Participants are responsible for providing accurate and current information during registration, including contact information and any information reasonably necessary for the safe delivery of the program.

3. Payment

Unless otherwise stated at the time of booking, payment is required in full to secure participation.

Prices are stated in Canadian dollars and may be subject to applicable Goods and Services Tax (GST).

For private, corporate, school, group, or custom programs, payment schedules and deposit requirements may differ and will be outlined in the applicable proposal, quotation, invoice, or agreement.

AAROE reserves the right to withhold confirmation of a booking until the required payment has been received.

4. Cancellation by Participants

Cancellation terms may vary depending on the program and will be identified in the applicable booking information where different terms apply.

Unless otherwise stated:

72 Hours or More Before the Program

Cancellations received at least 72 hours before the scheduled start time may be eligible for a credit toward another comparable AAROE experience.

Where a refund is specifically offered for a particular program, the applicable program-specific cancellation policy will apply.

Less Than 72 Hours Before the Program

Cancellations made less than 72 hours before the scheduled start time are generally non-refundable and are not eligible for a credit unless AAROE determines otherwise.

No-Show

Failure to attend a program without providing notice will be treated as a cancellation and is generally non-refundable.

Late Arrival

Participants who arrive after the scheduled start time may be unable to join the program if doing so would compromise the safety, experience, or schedule of the group.

Late arrival does not automatically entitle a participant to a refund or credit.

5. Cancellation or Changes by AAROE

AAROE reserves the right to cancel, postpone, modify, relocate, shorten, or otherwise alter a program when reasonably necessary.

Reasons may include, but are not limited to:

  • severe or unsafe weather;
  • wildfire or smoke conditions;
  • poor air quality;
  • trail, road, or land closures;
  • hazardous environmental conditions;
  • wildlife concerns;
  • insufficient registration;
  • instructor illness or unavailability;
  • emergency situations;
  • facility or venue issues;
  • government or land-management restrictions; or
  • other circumstances beyond AAROE's reasonable control.

AAROE will make reasonable efforts to provide notice when a program is changed or cancelled.

Where AAROE cancels a program and does not provide a suitable alternative, participants may be offered a transfer, credit, or refund as determined by the circumstances and the applicable program policy.

AAROE is not responsible for additional expenses incurred by participants as a result of a program cancellation or change, including travel, accommodation, meals, equipment rental, or other personal expenses.

6. Weather

AAROE operates outdoor programs in a variety of weather conditions.

Rain, snow, cold temperatures, heat, wind, and changing weather conditions do not necessarily result in cancellation.

Participants are responsible for arriving appropriately prepared for the anticipated conditions and for following the equipment and clothing recommendations provided by AAROE.

AAROE will make decisions regarding continuation, modification, postponement, relocation, or cancellation of an activity based on reasonable safety considerations.

7. Outdoor and Wilderness Risks

Participation in outdoor and wilderness activities involves inherent risks.

Depending on the program, these may include, but are not limited to:

  • uneven, slippery, steep, or unstable terrain;
  • falling branches, trees, rocks, or other natural objects;
  • trips, slips, falls, and other accidental injuries;
  • exposure to cold, heat, rain, snow, wind, smoke, or other weather conditions;
  • dehydration, exhaustion, or physical strain;
  • insects, ticks, plants, and allergic reactions;
  • encounters with wildlife;
  • water, ice, rivers, streams, and other natural features;
  • fire, smoke, hot surfaces, and cooking equipment;
  • use of hand tools or other instructional equipment;
  • remote locations and limited access to emergency services;
  • loss or damage to personal property;
  • transportation to or from program locations; and
  • other hazards associated with outdoor and wilderness environments.

Participants voluntarily assume the ordinary and inherent risks associated with the activities in which they choose to participate, subject to applicable law and any separate waiver or assumption-of-risk agreement provided by AAROE.

Participants must follow all reasonable safety instructions given by AAROE instructors and facilitators.

8. Participant Responsibility

Participants are responsible for:

  • honestly communicating information relevant to their ability to participate safely;
  • bringing required clothing, footwear, food, water, medication, and personal equipment;
  • following AAROE's instructions;
  • remaining within designated areas or following group-management instructions;
  • treating other participants, instructors, land, wildlife, and facilities respectfully;
  • immediately notifying the instructor of hazards, injuries, illness, or other safety concerns; and
  • making responsible decisions regarding their own participation.

Participants must not participate while impaired by alcohol, cannabis, illegal drugs, or any other substance that could reasonably affect their ability to participate safely.

AAROE may remove a participant from an activity where their behaviour creates a safety concern for themselves, another participant, the instructor, or the public.

No refund or credit is necessarily provided where a participant is removed from a program because of unsafe, disruptive, threatening, abusive, or inappropriate behaviour.

9. Physical Ability and Health Considerations

Participants are responsible for determining whether a particular activity is appropriate for them.

Outdoor programs may involve walking, hiking, standing, carrying equipment, exposure to weather, uneven terrain, and other physical demands.

Participants should seek appropriate medical advice where they have concerns about whether they can safely participate.

Participants should carry any medication or personal medical supplies they require during the activity.

AAROE instructors are not medical professionals and AAROE programs are not medical treatment or medical services.

10. Emergency Situations

Outdoor activities may occur in locations where emergency medical services cannot immediately access the participant.

AAROE will take reasonable steps within the scope of its training, equipment, and circumstances to respond to emergencies and seek appropriate assistance.

Participants acknowledge that emergency response and evacuation times may vary depending on location, terrain, weather, communication availability, and the nature of the emergency.

Participants are responsible for providing accurate emergency-contact information when requested.

11. Minors and Youth Participants

Participants under 18 years of age must be accompanied and appropriately supervised by a parent, legal guardian, or responsible adult unless AAROE has expressly agreed to another arrangement in writing.

AAROE does not provide unsupervised childcare or assume general parental or guardian responsibilities for minors.

Parents or legal guardians remain responsible for providing relevant information regarding the minor's needs, abilities, allergies, medications, and other considerations that may affect safe participation.

AAROE's staff, instructors, facilitators, volunteers, contractors, and partner personnel will not intentionally place themselves in a one-on-one unsupervised situation with a minor except where reasonably necessary during an emergency or for immediate safety purposes.

12. Equipment

Where equipment is provided by AAROE, participants are expected to use it responsibly and only as instructed.

Participants may be financially responsible for loss or damage resulting from intentional misuse, negligence, or failure to follow instructions.

Participants bringing their own equipment are responsible for ensuring that it is suitable, functional, and safe for the activity.

AAROE may prohibit the use of equipment that it reasonably considers unsafe.

13. Fire and Tool-Based Instruction

Certain AAROE programs may include instruction involving fire, knives, axes, saws, camp stoves, shelters, natural materials, or other wilderness tools and techniques.

Such instruction will be conducted with safety considerations appropriate to the activity and location.

Participants must follow all instructions regarding the handling, use, storage, and disposal of equipment and materials.

Participants may be required to refrain from participating in a particular activity where the instructor determines that doing so would create an unreasonable safety concern.

14. Plant, Foraging, and Traditional Knowledge Experiences

AAROE may provide educational experiences involving plants, traditional knowledge, ethnobotany, plant identification, historical uses, or Métis and Indigenous relationships with the land.

Such programming is educational in nature.

Information provided during an AAROE experience should not be interpreted as medical diagnosis, medical treatment, pharmaceutical advice, or a recommendation to consume or use a particular plant or natural substance.

Participants must not consume, harvest, handle, or use a plant or natural material unless specifically instructed and permitted to do so by the AAROE instructor.

Participants are responsible for informing AAROE of relevant allergies or sensitivities.

AAROE does not guarantee the suitability, safety, medicinal effect, or identification of any naturally occurring plant or substance for individual use.

15. Métis and Indigenous Cultural Teachings

Certain AAROE experiences incorporate Métis cultural knowledge, teachings, land-based learning, traditional perspectives, and the personal knowledge and experience of the instructor.

These teachings are presented within the context of the particular program and should be understood respectfully and within their appropriate cultural context.

AAROE does not represent that every teaching, practice, story, interpretation, or activity represents all Métis people or all Indigenous Nations.

Participants agree to approach cultural programming respectfully and not to record, reproduce, commercialize, or publicly distribute culturally sensitive teachings where the instructor has indicated that they are not intended for recording or redistribution.

AAROE's programs are educational experiences and do not claim to confer cultural authority, Indigenous identity, ceremonial authority, or cultural status upon participants.

16. Respect for Land and Wildlife

Participants are expected to follow applicable laws, land-use requirements, park regulations, trail rules, fire restrictions, wildlife regulations, and Leave No Trace principles or other applicable environmental practices.

Participants must not intentionally disturb, harass, feed, approach, injure, or interfere with wildlife.

Participants must not remove natural or cultural materials from a site unless expressly permitted.

AAROE may modify an activity when environmental, wildlife, conservation, or land-management considerations require it.

17. Photography, Video, and Recording

AAROE may photograph or record portions of programs for legitimate business purposes, including documentation, educational materials, website content, social media, marketing, and promotional materials.

Where appropriate, AAROE will seek participant consent for identifiable promotional photography or recording.

Participants must not photograph, record, livestream, or distribute another participant's personal information, image, voice, or participation without appropriate permission.

Participants must respect any request made by AAROE regarding the recording or distribution of culturally sensitive teachings, demonstrations, stories, or material.

18. Intellectual Property

Unless otherwise stated, materials created or provided by AAROE, including written materials, instructional materials, course content, photographs, graphics, branding, program names, descriptions, and original teaching materials, remain the property of AAROE or their respective rights holders.

Participants may use materials provided for their personal educational purposes.

Participants may not reproduce, publish, sell, distribute, substantially copy, teach commercially from, or otherwise exploit AAROE's proprietary instructional materials without written permission.

19. Personal Belongings

Participants are responsible for their personal belongings.

AAROE is not responsible for loss, theft, or damage to personal property except where liability cannot lawfully be excluded or limited.

Participants should avoid bringing unnecessary valuables to outdoor programs.

20. Accessibility and Accommodation

AAROE will make reasonable efforts to discuss accessibility needs and determine whether an activity can be safely adapted.

Because AAROE programs may take place outdoors and in natural environments, certain locations or activities may have physical or environmental limitations.

Participants are encouraged to contact AAROE before booking if they have accessibility requirements or other considerations that may affect participation.

21. Third-Party Services and Locations

Some AAROE programs may involve partner organizations, venues, landowners, guides, instructors, transportation providers, accommodation providers, or other third parties.

Where third-party services are involved, additional terms, rules, waivers, or requirements may apply.

Participants are responsible for complying with applicable third-party rules and requirements.

22. Private, Corporate, School, and Group Programs

Custom programs may be subject to additional terms contained in a proposal, quotation, invoice, contract, or service agreement.

Where a written agreement has been entered into between AAROE and an organization, the terms of that agreement will govern where they conflict with these general Terms and Conditions.

Organizations booking programs for groups are responsible for providing accurate participant information and ensuring that participants are informed of applicable requirements.

23. Changes to Programs

AAROE may make reasonable changes to a program's itinerary, location, sequence, activities, duration, or content when necessary for safety, environmental conditions, land access, group needs, or other operational reasons.

A change does not necessarily constitute cancellation of the program.

AAROE will make reasonable efforts to preserve the educational purpose and overall character of the experience when changes are necessary.

24. Respectful Conduct

AAROE is committed to providing a respectful and inclusive learning environment.

Harassment, discrimination, intimidation, threats, violence, sexual misconduct, bullying, abusive behaviour, or serious disrespect toward participants, instructors, partners, landowners, or members of the public will not be tolerated.

AAROE reserves the right to end a participant's involvement in a program where their conduct presents a safety concern or materially disrupts the experience.

25. Alcohol, Cannabis, and Intoxicating Substances

Participants must not attend or participate in an AAROE program while impaired.

AAROE may refuse participation or remove a participant where there is a reasonable safety concern arising from suspected impairment.

No refund or credit is necessarily provided where participation is refused or ended because of impairment or substance-related behaviour.

26. Liability

Participation in outdoor, wilderness, educational, and land-based activities carries inherent risks.

To the extent permitted by applicable law, participants acknowledge those risks and agree to take reasonable responsibility for their own participation.

Nothing in these Terms and Conditions is intended to exclude or limit any liability, right, or remedy that cannot legally be excluded or limited under applicable law.

Where applicable, participants may also be required to sign a separate waiver, release, assumption-of-risk agreement, or informed-consent document before participating.

If there is a conflict between these Terms and Conditions and a separately signed agreement, the terms of the applicable signed agreement will govern to the extent permitted by law.

27. Indemnification

To the extent permitted by applicable law, participants agree to be responsible for losses, damages, or claims arising from their own intentional misconduct, unlawful conduct, or negligent actions.

This provision does not apply to the extent that applicable law prevents such responsibility from being imposed.

28. Privacy

AAROE collects and uses personal information reasonably necessary to administer bookings, communicate with participants, manage programs, respond to emergencies, process payments, and operate the business.

Personal information will be handled in accordance with applicable privacy laws and AAROE's privacy practices.

Participants should not provide unnecessary sensitive personal information during registration.

29. Communication

Participants are responsible for providing an accurate email address and/or telephone number when registering.

AAROE may use the contact information provided to communicate important information regarding bookings, schedule changes, weather conditions, meeting locations, cancellations, equipment requirements, and other matters relating to participation.

Participants are responsible for checking communications before attending a program.

30. Gift Certificates, Credits, and Transfers

Where AAROE issues a credit in accordance with a cancellation or other approved arrangement, the credit may be subject to the conditions communicated at the time it is issued.

Credits are not automatically transferable or redeemable for cash unless AAROE agrees otherwise or applicable law requires otherwise.

Gift certificates, credits, promotional offers, and discounted bookings may have additional conditions.

31. Promotional Offers and Discounts

Promotional pricing, group discounts, early-bird pricing, partner rates, and other special offers may be subject to specific terms.

Unless otherwise stated, promotions cannot be combined with other discounts or applied retroactively to previous bookings.

AAROE reserves the right to correct pricing or promotional errors before a booking is confirmed.

32. Force Majeure

AAROE will not be responsible for failure or delay in providing a program caused by circumstances beyond its reasonable control, including severe weather, wildfire, natural disasters, government restrictions, road or trail closures, public emergencies, illness, transportation disruptions, labour disruptions, or other unforeseen circumstances.

AAROE will make reasonable efforts to provide an appropriate alternative, reschedule the program, or provide another remedy where practical.

33. Governing Law

These Terms and Conditions are governed by the laws applicable in the Province of Alberta and the applicable laws of Canada.

Any legal rights, obligations, limitations, or remedies will be interpreted in accordance with applicable law.

34. Severability

If any provision of these Terms and Conditions is found to be invalid, unenforceable, or unlawful, that provision will be interpreted or limited to the extent necessary, and the remaining provisions will continue to apply to the extent permitted by law.

35. Changes to These Terms

AAROE may update these Terms and Conditions from time to time to reflect changes to its programs, operations, legal requirements, or business practices.

The current version published by AAROE will apply to bookings made after its effective date unless otherwise required by law or agreed in writing.

36. Acceptance

By completing a booking or registration, attending an AAROE program, or otherwise participating in an AAROE experience, the participant acknowledges that they have had an opportunity to review these Terms and Conditions and agree to comply with them.

Where a separate waiver, release, assumption-of-risk agreement, or participant agreement is required, that document must also be completed before participation.
